The Human Resources Assistant will assist in the administration of the day-to-day operation of the Human Resources department.  They will carry out responsibilities in some or all of the following functional areas: Recruitment/New starters, HR Data, payroll, record maintenance and contracts of employment.

Reporting into the HR Manager, your daily duties are follows:


Recruitment/New Starter Process:
Assisting and supporting in the recruitment process
Scheduling job interviews in the absence of the Company Administrator
Assisting and supporting in the interview process
Distribute and supervise the Application Form for all interviewees
Collecting employment information
Assist in the reference checks in the absence of Company Administrator
Inducting new employees into the organisation (welcome packs, HR paperwork, Right to Work etc.)
Management of Agency workers, as and when required.

Health and Safety Administration:
Collate the weekly Health and Safety sheets
Report any Health and Safety issues
Conduct Accident reports.

HR Data/Record Maintenance:
Maintaining current HR files and HR Data file
Updating and maintaining employee benefits, employment status, and similar records
Performing file audits to ensure that all required employee documentation is collected and maintained
Administering in the annual leave process
Collect Saturday rotas to process the wages
Performing payroll audits and recommending any correction action
Completing termination paperwork
Archiving of leavers.

Contracts of Employment:
Administer the Welcome packs for all new starters
Preparing new employee files.

Ad Hoc Duties:
Answering employee queries
Processing incoming mail
Maintaining the HR Data file by keeping it up to date
Arranging appointments and meetings
Maintaining calendars of HR management team
Compiling reports and spreadsheets and preparing spreadsheets
Organising the Charity Day administration
Office filing.

Person Specification:

To perform in this role successfully, you must be able to perform each essential responsibility satisfactorily.  These requirements are representative, but not all-inclusive, of the knowledge, skill, and ability required of the Human Resources Assistant.
Excellent Microsoft skills, including Word and Excel
Effective oral and written communication skills
General knowledge of various employment laws and practices
Experience in administration of benefits and other HR programs
Excellent interpersonal skills
Skilled in database management and record keeping
Able to exhibit a high level of confidentiality
Excellent organisational skills
Must be able to identify and resolve problems in a timely manner
Must be able to gather and analyse information skilfully.
